On behalf of the KAPOSI’S SARCOMA HERPESVIRUS (KSHV) AND RELATED AGENTS ASSOCIATION, we look forward to awarding a number of abstract award registration fee waivers for qualifying trainees (graduate students, postdocs and pre-doctoral study technicians working in academic or government labs). These awards will be dependent on the outcome of applications for funding that are still pending. Abstract award registration waivers will be distributed based on the ranking of the abstracts by the scientific advisory committee and will prioritize current graduate students, followed by other trainees. All graduate students, postdocs and pre-doctoral study technicians working in academic or government labs submitting an abstract wishing to apply for a Trainee Abstract Award must upload a pdf document from their advisor or institution verifying their training status at the time of abstract submission. ONLY submissions with the appropriate documentation included with the submission, will be considered for Trainee Abstract Awards.

Delegates who would like to present their work at the meeting as a poster or oral presentation, are invited to submit an abstract for consideration by the Local Organizing and Scientific Advisory Committees. Abstracts are accepted on a wide range of themes according to the abstract submission topics listed above.

The corresponding topic must be selected to ensure correct scoring of the abstract. The content of the abstract must be topic related. The papers will be peer-reviewed and selected for oral or poster presentation.

Abbreviations should be indicated in parentheses following their first mention in the text. Trade names cannot be mentioned in the title. However, trade names in brackets will be accepted in the body of the text.

Conflict of Interest Policy: It is the intent of the 28th International Workshop on Kaposi’s Sarcoma Herpesvirus (KSHV) and Related Agents to provide high-quality sessions focused on educational content that is free from commercial influence or bias. Thus the submitting author of an abstract is requested to declare any potential conflicts of interest for all authors during abstract submission. 

Before beginning your abstract submission, please collect the following:

  • Presenting authors contact information and affiliation
  • Co-Authors names, affiliations and email
  • Principal Investigator/Lab Head name, email and affiliation

Abstract Submission Guidelines

  • Only create one account for abstract submissions. The online Abstract Submission System (Oxford Abstracts) is separate from Meeting Registration & Membership System (Internet4Associations), you can use the same email address but will need to login separately for Abstracts and Registration.
  • If you already have an account in the Oxford Abstracts system (from KSHV 2025 or any other meeting) please Sign in with your email and password using the online form, to the Oxford Abstracts. If you have never set up an account, please Create an Account and then you will be able to submit your abstract. Please note: event organizers will communicate to you about the event via your selected email. Please be sure to always use the same email address so we do not have duplicate accounts. 
  • 300 word count limit.
  • Select your presentation preference, oral, poster or either oral or poster (Program Committee will make the final decisions).
  • Include all authors and affiliations in submission, including the submitting author, any co-authors, and Principal Investigator/Lab Head, identify one author as the presenting author. Presenting Author can be modified at a later date if needed.
  • All abstracts must be submitted and presented in English with spelling and grammar of a quality suitable for publication.
  • All submissions will appear in the online program in the exact way they are submitted.

Review Procedures

  • All submittals are reviewed by the Local Organizing Committee and Scientific Advisory Committee Members.
  • Proposals constituting sales pitches for products or services will not be considered.
  • Any oral submissions not chosen for an oral presentation will receive a poster presentation.
  • Authors will be notified of the abstract acceptance/rejection by 7 April 2026.

Submitting an Abstract

All presenting authors must be registered for the meeting by May 10, 2026 in order to finalize the program.

Final decisions about oral vs. poster presentations will be made after abstract review by the Scientific Advisory Committee.

Access to the Abstracts

All accepted abstracts will be printed in the Final Program and accessible through the online program, with access limited to registered meeting attendees from one week before the meeting until 30 days following the meeting. Taking photos or videos of the posters and oral presentation will be strictly prohibited.

When you’ve finished the submission

Submitted abstracts will be reviewed and selected by abstract review groups that include the Local Organizing Committee and members of the Scientific Advisory Committee for oral or poster presentation after the abstract submission deadline. You will receive a confirmation email with your Abstract ID number after your abstract submission has been successfully submitted. You can view or edit your abstract by returning to your profile in the KSHV Conference Management system at any time. If you do not receive this confirmation email, please contact Joan Oefner.

Requirements for Authorship

Authors listed in the abstract should conform to the International Committee of Medical Journal Editors (ICMJE) recommendations for authorship:

  1. Substantial contributions to the conception or design of the work; or the acquisition, analysis, or interpretation of data for the work; AND
  2. Drafting the work or revising it critically for important intellectual content; AND
  3. Final approval of the version submitted; AND
  4. Agreement to be accountable for all aspects of the work in ensuring that questions related to the accuracy or integrity of any part of the work are appropriately investigated and resolved

Author Listing

Each abstract may include up to 15 authors. If more than 15 are listed, the last authors will be automatically removed. Submitters may also include 1 Research Group, which will be listed in the author block.

By submitting an abstract, the submitter confirms that all listed authors have reviewed and approved the abstract’s content. This confirmation ensures the accuracy of the data, the scientific validity of the results and conclusions, and that all authors accept responsibility for the integrity of the work. This affirmation aligns with the ICMJE authorship requirements and is essential for the abstract reviewers during the evaluation process.

Presenting Author

The Presenting Author listed on the abstract is responsible for registering for the meeting and delivering the presentation if the abstract is accepted. In an emergency, a coauthor may register and serve as a replacement presenter. The authors must disclose this information to [email protected].
