Delegates who would like to present their work at the meeting as a poster or oral presentation, are invited to submit an abstract for consideration by the Local Organizing and Scientific Advisory Committees. Abstracts are accepted on a wide range of themes according to the abstract submission topics listed above.

The corresponding topic must be selected to ensure correct scoring of the abstract. The content of the abstract must be topic related. The papers will be peer-reviewed and selected for oral or poster presentation.

Abbreviations should be indicated in parentheses following their first mention in the text. Trade names cannot be mentioned in the title. However, trade names in brackets will be accepted in the body of the text.

Conflict of Interest Policy: It is the intent of the 27th International Workshop on Kaposi’s Sarcoma Herpesvirus (KSHV) and Related Agents to provide high-quality sessions focused on educational content that is free from commercial influence or bias. Thus the submitting author of an abstract is requested to declare any potential conflicts of interest for all authors during abstract submission.  All speakers should include a disclosure slide as the first slide in the presentation, disclosing any potential conflicts of interest.

Before beginning your abstract submission, please collect the following:

  • Presenting authors contact information and affiliation
  • Co-Authors names, affiliations and email
  • Principal Investigator/Lab Head name, email and affiliation

Abstract Submission Guidelines

  • Only create one account for abstract submissions. The online Abstract Submission System (Oxford Abstracts) is separate from Meeting Registration & Membership System (Internet4Associations), you can use the same email address but will need to login separately for Abstracts and Registration.
  • If you already have an account in the Oxford Abstracts system (for the EBV/KSHV Joint Meeting or any other meeting) please Sign in with your email and password using the online form, to the Oxford Abstracts. If you have never set up an account, please Create an Account and then you will be able to submit your abstract. Please note: event organizers will communicate to you about the event via your selected email. Please be sure to always use the same email address so we do not have duplicate accounts. 
  • 300 word count limit.
  • Select your presentation preference, oral, poster or either oral or poster (Program Committee will make the final decisions).
  • Include all authors and affiliations in submission, including the submitting author, any co-authors, and Principal Investigator/Lab Head, identify one author as the presenting author. Presenting Author can be modified at a later date if needed.
  • All abstracts must be submitted and presented in English with spelling and grammar of a quality suitable for publication.
  • All submissions will appear in the online program in the exact way they are submitted.

Review Procedures

  • All submittals are reviewed by the Local Organizing Committee and Scientific Advisory Committee Members.
  • Proposals constituting sales pitches for products or services will not be considered.
  • Any oral submissions not chosen for an oral presentation will receive a poster presentation.
  • Authors will be notified of the abstract acceptance/rejection on April 8, 2025 in time for the Early Registration Deadline of April 10, 2025.

Submitting an Abstract

  1. All presenting authors must be registered for the meeting by April 10, 2025 in order to finalize the program.
  2. Final decisions about oral vs. poster presentations will be made after abstract review by the Scientific Advisory Committee.
    1. Title of the Abstract: The first step is to input the Title of the abstract in Title Case, capitalize the first letter of every word, using lowercase only for “minor” words of three letters or fewer, namely, for conjunctions (words like and, or, nor, and but), articles (the words a, an, and the), and prepositions (words like as, at, by, for, in, of, on, per, and to), as long as they aren’t the first word in the title. This will be used for printing in the final program.

      For example: CRISPR-Cas9 Mediated Knockout of Viral ORF57 Gene from All Copies of the KSHV Genome in BCBL-1 Cells

      Do not to include the authors or any additional information in the title field.

    2. Body of the Abstract: Type or (or paste from Word), the Body of the Abstract (300 word limit), in normal sentence case, NOT to include the abstract title, authors, affiliations or contact information.

    3. You MUST enter the names of ALL authors here – in the order in which you wish them to appear in the printed text and designate one author as the presenting author. The abstract can be submitted by any co-author, however, only the submitting author will receive all notifications, the presenting author is responsible for the oral or poster presentation. Designation of the Presenting Author can be changed until May 31, 2025. Co-authors will receive a notification of the submission in “read only” format and will not be able to edit or present the abstract unless a presenter change occurs. All Author Names will be included in the author index for the final program. Do not list the departments, just the main institution for each author.

    4. The third and final step is to review your submission and submit. Please proof read the abstract and make sure there are not typos, the abstract, if accepted, will appear exactly as input in the final program publication, interactive online program and on the website.
    5. You will receive an email with your Submission ID and can edit the submission until the Abstract Submission Deadline.

    When you’ve finished the submission

    Submitted abstracts will be reviewed and selected by abstract review groups that include the Local Organizing Committee and members of the Scientific Advisory Committee for oral or poster presentation AFTER THE ABSTRACT SUBMISSION DEADLINE. You will receive a confirmation email with your Abstract ID number after your abstract submission has been successfully submitted. You can view or edit your abstract by returning to your profile in the KSHV Conference Management system at any time. If you do not receive this confirmation email, please contact Joan Oefner.
